Job Purpose:
The PMO Analyst will work within the Project Management Office (PMO) to support project and program management activities including Planning, Reporting, Analysis of large data sets, leveraging the newly implemented PPM tool for reporting and Providing insights across the change portfolio.
Main Responsibilities:
Reporting and Analysis:
- Understand all aspects of the Smartsheet PPM tool. Support defining, refining and creating dashboards. Ensuring dashboards are fit for purpose and provide a holistic view across the Projects/Programs
- Consistently analyze data across the tool to ensure this is being maintained by Project and Portfolio Managers. Provide support and guidance to ensure governance adherence
- Assess and challenge data provided by Portfolio and Project Managers across all Smartsheet artefacts including RAID, Project Plans, Status tracker and Lessons Learned
- Provide the PMO Manager with regular updates on high-risk projects, issues and red flags across the Portfolio
- Create, assess and maintain standardized project governance material including templates, workflows and process documentation. Circulate these across the Project and Portfolio Management community
- Continuous Quality Assurance (QA) of data used for management reporting purposes through Smartsheet
Communication:
- Provide a clear communication strategy across the Project and Portfolio Manager community
- Provide maintenance of the PM and PPM teams channels. Post communication regularly, with sign off from the PMO Manager and Head of PMO
- Build trust with team members by consistently understanding and fulfilling partner requests in an accurate, timely and professional manner
- Provide communications to all partners across the portfolio including, but not limited to, Finance Business Partners, Project Managers and PMO
- Communicate professionally and efficiently with Program & Project teams to ascertain relevant and timely updates for reports/presentation
- Able to review issues with a new perspective, identifying innovative and alternative approaches to addressing and resolving them
Required skills and experience:
- Excellent information analysis and presentation skills, with the ability to represent complex information with a simple and structured approach
- Ability to be proactive and use initiative to achieve a successful outcome in a timely manner
- Remaining autonomous and taking ownership of tasks independently, keeping PMO Manager informed as required
- Excellent information management, collation and reporting skills, and proficiency with reporting tools such as Smartsheet PPM or other similar PPM tools
- Strong knowledge and experience of formal project management methodologies, project planning, project financial management, and project resource management
- Strong computer literacy, including advanced knowledge of the MS Office suite of products, specifically Excel, and a willingness and skill to learn new tools quickly
- Experience in a similar project analysis role
- A strong customer service focus and the ability to build effective working relationships with employees and external stakeholders/suppliers
- The ability to work effectively in a team environment and to process deadlines.
- High attention to detail and an orderly approach to processing
