Set up and maintain meeting rooms, including AV equipment, refreshments, and materials. Greet and assist visitors, ensuring a warm and professional welcome. Support general office coordination and liaise with facilities as needed. Assist with health and safety procedures, including inductions and compliance support. Provide full administrative support to the team, including diary management, document formatting, keeping minutes and internal coordination. Prepare and update PowerPoint presentations and other materials. Manage travel bookings and itineraries. Process and track expenses and reimbursements accurately. Event coordination and assistance. Attend project meetings and prepare detailed meeting minutes. Compile and submit a monthly project invoice forecast for the client. Draft the initial structure of customer proposals using available project data. Register new projects in Salesforce and generate project codes for use by the billable team.
Previous experience in an administrative or office support role. Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and collaboratively. Fluent in German and English.
