Administrative Assistant

We are looking for a highly organized and proactive Administrative Assistant to join our Frankfurt office. This role is central to ensuring the smooth running of day-to-day operations, supporting projects, and providing a welcoming and professional environment for both guests and colleagues.

Responsibilities

  • Set up and maintain meeting rooms, including AV equipment, refreshments, and materials.
  • Greet and assist visitors, ensuring a warm and professional welcome.
  • Support general office coordination and liaise with facilities as needed.
  • Assist with health and safety procedures, including inductions and compliance support.
  • Provide full administrative support to the team, including diary management, document formatting, keeping minutes and internal coordination.
  • Prepare and update PowerPoint presentations and other materials.
  • Manage travel bookings and itineraries.
  • Process and track expenses and reimbursements accurately.
  • Event coordination and assistance.
  • Attend project meetings and prepare detailed meeting minutes.
  • Compile and submit a monthly project invoice forecast for the client.
  • Draft the initial structure of customer proposals using available project data.
  • Register new projects in Salesforce and generate project codes for use by the billable team.

Requirements

  • Previous experience in an administrative or office support role.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively.
  • Fluent in German and English.
